It’s been quite a year for EventSpot (formerly known as Event Marketing)! If you hadn’t noticed, we changed our name. And with that new name came a lot of awesome features and product enhancements to make us bigger and better than ever.
We’re always hard at work to make sure collecting online registrations and promoting your event is a breeze. Check out some of our features and enhancements we shared with you in 2012 and look for more to come in 2013!
Have fun picking the colors for your next event! With EventSpot you’ve got the power to put your own unique stamp on your event communications. Use your own custom theme for your event invitation, registration, and landing page. You can use your brand colors with our custom theme picker.
Change your background, foreground, headline, and font color and customize the fonts. You can also choose custom fields for your registration form. Collect whatever information you need from your registrants! With custom themes from EventSpot you can easily customize your event materials to match your own brand for that professional look you want.
We have radically enhanced our ticket functionality, adding new features and information to make your event check-in process less hectic and more informative for event organizers.
Tickets now include:
- Critical registrant information – Registrant/guest name, payment status, payment method, registration fee type, items purchased will all be printed on the ticket.
- QR Code for mobile check-ins – All you need is your smartphone with a QR code reader like QR Droid for Android or Red Laser for iPhone.
- Unique event ticket numbers – Each registrant ticket will have its own unique ticket number, so if you are using the mobile app for check-in you can manually enter the ticket number if necessary.
- Visual design improvements
- Coming Soon: Download tickets as a Passbook pass – Passbook allows iOS6 users to store their passes, tickets, loyalty cards, etc. all in one place.
Just use your EventSpot login information on any computer with an internet connection and you can quickly check in registrants for your event. You can also use our mobile check-in app that works with Android or iPhone to check people in.
With our new mobile check-in app (available mid-December) the goal is to give event organizers easy mobile check-in capabilities. Our new mobile app will allow you to:
- Check in registrants by scanning a QR code on the ticket
- Search for the registrants name
- Enter the pass (from Passbook) or ticket number
Credit card processing enhancements
One of the biggest challenges an event organizer faces is accepting, managing, and tracking payments. Today, EventSpot offers both online and offline payment options (ProPay, Authorize.net, PayPal, Google Checkout, check, and at the door).
You now have the option to accept online credit card payments seamlessly on your event registration page using ProPay or Authorize.net as your credit card processing company! Your registrants will be able to simply take out their credit cards and pay without being pushed over to another website to complete the payment if you use ProPay or Authorize.net. This new credit card payment option will help you look more professional and you will lose less registrants due to abandons/drop off.
If your business already uses Authorize.net (a leading online payment processor), you can simply enter your account information and go! If you are new to the whole online credit card scene, or don’t use Authorize.net, we have partnered with ProPay to get you a fantastic all-in-one online credit card processing option.
About ProPay: ProPay is built for small businesses and lets you collect credit cards online, via email invoices, and in person with your smartphone or tablet. And with ProPay you’ll get additional payment options for your business beyond your events. They offer email invoicing, mobile payments, online credit card terminals, and many other features you can use outside of your events.
To sweeten the deal, Constant Contact customers will receive a discount when they sign up for ProPay, so be sure to sign up right from EventSpot when you are logged in to your account! Check out ProPay’s special Constant Contact rates.
Online meeting options
Coordinating an online event has its own unique challenges. And, as you might have expected, EventSpot has risen to the challenge by adding not only new ways to present your information, but also providing an easy way to access your online event or webinar platforms as well.
We’ve added the option for you to indicate that your event is being held online. It doesn’t matter what webinar or online platform you’re using. When you choose that option you’ll have the ability to fill out fields for:
- Your online event URL
- Any additional information your customers may need to access your online event
All of this information will be in the confirmation email that’s sent to your registrants.
Don’t have an online event tool? Want to try something new?
There’s also the opportunity for you to save some time and energy in your online event creation if you use MeetingBurner or don’t have an online event tool and want to start using them. EventSpot has integrated with MeetingBurner, a fast and simple online meeting platform where you can host your webinar, share your screen, or use any number of other features.
Not only can you sign up for an account right through EventSpot (and get a pricing discount), but once you do so, you can seamlessly tie together your event creation and registration. Including:
How does it work?
Where other tools just give you a link, we give you professional invitations, an event landing page and registration/payment capabilities which can all easily be designed to match the look of your brand. Learn more about setting up an online event with EventSpot and MeetingBurner.
What is an event directory?
An event directory is a free website that compiles and lists events. Some notable examples are Events in America and SocialVents. If you’ve ever searched for “things to do” while traveling to a new city, or if you’ve searched for specific events in the past, then you’ve probably seen sites like these.
We’ve made it easy for you to be listed
Before you go running around to the many directories out there—relax. We’ve made it easy for you. Rather than approaching each directory individually, creating accounts, and adding your events one at a time you can click “Add my event to event directories,” and we will push your event out to be listed with Events in America and SocialVents.
Additional product enhancements
Manually update your event
1. Manually register someone during or after an event
One of the advantages of using the EventSpot tool is that it helps you track your registrants and attendees. However, we’ve heard loud and clear that the tracking doesn’t end when the event begins. To help you keep your event tracking straight, we have enhanced our tool to allow you to manually register someone both during and after the event. You can register people from within the EventSpot tool and from your “Event Details” page.
*Note – it may make sense to enable the “at the door” payment option, so that you (the event holder) can register people quickly without having to also run their credit card.
2. Manually decline invitees
We’ve learned that your invitees don’t always click the “Decline” link on an invitation, and that instead they send you email or give you a call to tell you they can’t make it to your event. In the same area that you manually register someone, you can now manually decline someone.
Copy your event
When you copy an event, all event invitations, emails to registrants, and emails to non-responders are copied as well.
Improved email editing
Our email editor has a new drag and drop functionality to make creating emails even easier!
We have made your registration form and payment options mobile friendly, making it easy for your attendees to register and pay for your event right from their iPhone or Android device.
More to come in 2013
As you can see, it’s been a very prosperous 2012. We plan to enter 2013 with the same drive, passion, and commitment to help you—our customers—get what you need to better plan your events using EventSpot. Stay tuned!
